Feature: One-Click Push-to-Talk

What is One-click Push-to-Talk?

One-click PTT allows users to get in and out of PTT calls faster by having the button (see below image). The feature, which launched in September, is part of our push to make Team on the Run both faster and more accessible for users.

By using a PTT button that doesn’t block navigating on the app and improves the start session using only one click, end users are able to swiftly get in touch with their employees by just clicking on their name in the contact directory.

Once you have activated Push-to-Talk as your default action, you can now take advantage of the feature. The moment you click on a contact the Push-to-Talk button will appear and you can instantly start your conversation.

Digital Transformation Made Concrete Part 2: How it can Protect your Business

*Digital Transformation Made Concrete: Part One was made to examine the ‘what’ portion of Digital Transformation, part two will cover the ‘why.’

When we look at the Digital Transformation and how it is shaping companies, one of the most important things to take in is the protection aspect. Company data, files, and even standard emails are at risk on any given day.

In a study done in 2013 by TechTalk, 95.6% of commuters put their company data at risk. This can be done by sending emails over “free” WiFi, or even sending data over 4G. You don’t realize in doing so that you are in fact putting your companies data at risk.

Timothy Francis, enterprise lead for Cyber Insurance digs further into the premise stating, “62% of cyber breach victims are small to mid-size businesses, which are at the greatest risk for an attack. Their level of preparation is low, and the costs of customer notification alone can be enough to do a small company irreparable financial harm.” In the same article which written by Rosalie L. Donlon, goes on to explain that the cost of a data breach in just legal fees alone can be crippling for a business.

So what we are looking at now is employees who are unintentionally putting their business at risk just by doing their job. Having a chat over texts or email while at the local coffee shop on their free WiFi is a danger to your company. This is why the digital transformation is important for businesses small to large. This is also where Team on the Run comes in, to help protect your company’s data with our state-of-the-art encryption capabilities.

Our company branded messenger can be used both on mobile and on web, that way you always know that your employees conversations and data is safe at all times. Team on the Run allows you to have your entire company contacts stored in our encrypted platform allowing you to safely send information between co-workers wherever you are.

When it comes to the digital transformation of a business, making sure they are safe and secure for the future is at the forefront. Team on the Run enables you to make sure employees can be accessible to each other, on a safe network, and at all times. No one wants to be the company that has it’s information stolen because employee B needed to send an email to employee A on Dunkin Donuts WiFi, all while using a Gmail account.

Team-on-the-run-Coffee2 (002).png

At Team on the Run, we want you to be able to enjoy that cup of coffee without having to worry if your messages are safe.

In our next post we will look at what digital transformation means for Team on the Run.

**A note about security at Team on the Run:

Secure communication is at core of our platform. We work to ensure that we have state of the art encryption so your information is safe and sound. Plus we offer a remote data wipe out option so if a device is stolen or misplaced the team Administrator can wipe it clean to secure confidential information leaks.

Along with the great features listed above, our business messaging package also includes:

  • Advanced Group Management
  • Usage Reports for Admins
  • Integrated with External Storage: Dropbox, Google Drive, Alfresco
  • Availability of Open API
  • Real – Time Synchronization between WebChat and Smartphone App

Digital Transformation Made Concrete: Part One

Digital transformation, business mobility, mobile enterprise, and some other related buzzwords.

Let’s start by defining the term. I found this definition by Agile Elephant that I think explains the term very clearly:

“Digital transformation is the process of shifting your organization from a legacy approach to new ways of working and thinking using digital, social, mobile and emerging technologies.  It involves a change in leadership, different thinking, the encouragement of innovation and new business models, incorporating digitization of assets and an increased use of technology to improve the experience of your organizations employees, customers, suppliers, partners and stakeholders.”

A few means of digital transformation include the use of analytics, mobility, social media and smart embedded devices to improve on traditional techniques and technologies to aide in smoother, faster and more intuitive internal processes and external customer relations.

The digital transformation is already a reality and the “transformation” side should not be taken lightly, as Phillip Tracy points out in What is Digital Transformation:

“Leading companies of this concept can be found in nearly all industries, with disrupters like Uber providing extreme examples of what digital transformation can achieve. In fact, in 2014 MIT interviewed 157 executives in 50 large companies — typically $1 billion or more in annual sales — and spanning 15 countries. Approximately half of the interviewees were business leaders such as CEOs, line of business managers, marketing heads or COOs, while the other half were IT and technology leaders. The companies interviewed were moving forward with digital transformation at varying speeds and experiencing varying levels of success. MIT found the best companies – those they refer to as “Digirati” – combine digital activity with strong leadership to turn technology into transformation, or what MIT considers reaching “digital maturity.”

As businesses look to integrate these process management tools into their arsenal to improve their companies function, Team on the Run is here to help. Team on the Run provides businesses with a company branded messenger platform that includes features like Push to Talk, NFC tag check in, secure VoIP calls and Geolocation.

The main point of the digital transformation is to reshape the modern enterprise and automatize the processes you go through on a daily basis. Eliminate the hassle passing documents by hand, or logging driver miles for fleet management by digitizing your processes and letting the technology improve your day to day.

One example for Team on the Run and Fleet Management customers is our ability to get rid of expensive outdated equipment by making their processes quicker and more efficient. When you have less steps in a process you can save time, so when you look at something like Geolocation and PTT (Push to Talk) they save time by utilizing both on one device and in one app as opposed to using Walkie-Talkie equipment and a GPS.

In our next post we will look at how the digital transformation can protect your business.

The Value of Push-to-Talk

Do you ever find yourself sitting in a meeting listening to the multiple conversations going on at one time and wonder, how are we actually getting things done?

There have been times when sitting in a meeting was comparable to a Thanksgiving meal with my family and all the cousins, conversations flowing at a rapid pace.

A meeting shouldn’t be going on like this, meetings are set up to complete tasks, accomplish goals and to put plans together. Using the Push-to-Talk feature by Team on the Run. we have found a way to cut down on chatter, improve workflow, and improve the overall experience of a meeting.

What makes Push-to-Talk a successful solution for a meeting? Its ability to give one person the floor to speak. You speak when its your turn, everyone else listens, once you finish someone else can take over and have the floor. This gives each employee a voice no matter if you are the manager, intern, or executive.

Having these meetings with a global company or a company with remote employees is a great way to make sure everyone is attentive and gets a chance to voice their opinion.

When we have a weekly meeting it’s a time for each employee to speak up on their tasks that they are currently working on and with Push-to-Talk each member has a chance to speak up and take turns. When it’s your turn to speak, the floor is yours and you can explain everything.

Meetings through something like Skype or Google Hangouts can actually hinder productivity when everyone can speak at one time. Not to mention the guy on the call that doesn’t realize his mic is always on.

Team on the Run also offers the ability to set up channels: A channel is a group full of members who, when signed in, can push to talk with everyone, from anywhere, just like a walkie-talkie Frequency band, but far stronger. This allows you to control who can enter the meeting, that way you can make sure that the right people are always in your meetings.

Team on the Run allows you to take control of a meeting and make sure everyone is not only participating but plans stay intact and goals on target.

Say goodbye to overly complicated meetings and hello to meetings simplified.

Features on the Run

Over the past few months here at Team on the Run we have been working on providing engaging content stretched across multiple and new platforms. One of these “new” platforms is YouTube.

Starting this week we will be launching our first set of feature videos onto the channel: YouTube

These feature videos will showoff different features that are offered within the Team on the Run app and Webchat. Especially after trying out Team on the Run, the YouTube “features” playlist will be a good place to go check out and take a deeper dive into what Team on the Run can offer your business.

This week the two videos of interest that will be discussed is:

NFC: On the Run

NFC communication is another one of the many features brought to you by Team on the Run. For those unfamiliar with NFC communication, NFC stands for Near Field Communication:

NFC: is a set of communication protocols that enable two electronic devices, one of which is usually a portable device such as a smartphone, to establish communication by bringing them within about 4 cm (2 in) of each other

nfc-tag-banner

NFC tag check ins with Team on the Run allow you to do instant updates while on the go. Real-time inventory updates will allow you to update management on inventory by just hovering your phone over a well placed NFC tag.

NFC also allows for instant updates on employee tasks and performance. Complete a task? Use an NFC tag to mark what time you finished your task or project at so your boss knows exactly when you completed said task.

Lastly, NFC also provides security, access control and location identification among other process automation in the business environment. Private security companies can use NFC tags to see when employees are checking doors and checking rooms to be more precise and time efficient each time they check a room. When tagged with NFC they can also back up when exactly they checked rooms and doors in case of emergency as well.

For more information about NFC with Team on the Run check out our User Guide: HERE

Team on the Run updates check-ins at the workplace with cutting edge Near Field Communication (NFC) Tag

A couple of months ago we were happy to announce the addition of new NFC Tag technology to the Team on the Run service.

Today our post is about popular use cases for this technology in different industries, but first:

What is Team on the Run Near Field Communication (NFC) Technology?

Long and technical story short, Team on the Run uses the built-in NFC technology of your Android smartphone to send an automated message from your device to a central company database when in close contact with an NFC tag (or reader). Team on the Run allows you to create custom messages that fit each use case. The message that is sent could be text or it could change the status of a task in your company’s centralized management system. Team on the Run’s NFC Tag feature harnesses the technology you already have but are not using, and allows you to automate daily processes, streamlining your business activity and saving you resources at a very reasonable price. NFC Tag is a real steal that is included in our most basic package. You can read more about it HERE, otherwise scroll down for some examples of this technology.

Team on the Run: A HIPAA Compliant Mobile Communication Tool for Healthcare Professionals

totr healthcare image

This January, the Indiana Court of Appeals upheld a landmark victory that sets the precedent for patients seeking to hold health professionals accountable for violating HIPAA policy on the sharing of personal health information (PHI.)

hipaa totr

The good news is that these situations are easily avoidable through the proper protection of PHI.

Team on the Run, being a HIPAA compliant communication tool, can help you control your communications to increase efficiency and ensure compliance.

Team on the Run Helps Hospitals Work Faster

The Challenge: A regional hospital needs a way to help its small staff see more patients and process prescriptions efficiently, while adhering to HIPAA guidelines on PHI security.

The Solution: The Team on the Run solution, installed on existing devices allows instant communication; removing the need to play “phone tag”, deal with voice mail, or wait for bulky emails.

The Result: Staff free up enough time to see up to 50% more patients. The time saved in communications reduces patient wait times, sends procedure results back to doctors faster, and allows staff to see more patients per shift.

Capture

Team on the Run Protects Local Pharmacy from Lawsuit

The Challenge: A customer thinks the pharmacy may have accidentally leaked PHI to their partner. The pharmacy may be confident that their staff is well-trained in honoring the HIPAA “Privacy Rule”, but how do they prove their data security to a court?

The Solution: Unlike SMS texts or other messaging services – Team on the Run messaging tracks records sent and received, and is designed with the latest protection protocols. The solution includes an extra level of authentica- tion to help ensure that sensitive information is only sent to verified recipients. External control features can prevent former employees from taking private PHI with their devices should they leave.

The Result: The Team on the Run solution, along with the secure records of staff members using the solution, can help protect you from liability through supporting chain of custody for the receipt of private information.

Capture

Team on the Run Helps Doctors Work Remotely

The Challenge: Doctors and nurses sometimes make house calls, work from remote locations, or sometimes respond to an emergency when not officially on duty. They may need a way to communicate in real time, without compromising personal information.

The Solution: The Team on the Run solution allows for separate, distinct groups. Doctors need to share information, including files or images, with staff for a specific patient. They need a way to discuss information about that patient, without sharing this private information with other staff not involved with that patient’s care.

The Result: Medical staff can share needed information in real time, without breaching privacy. Other communications platforms give users “one big room” where they create a HIPAA privacy violation risk by dealing with messages from all users, regardless of relevance.

A: Team on the Run is a very unique new breed of mobile communication services. Convenience and security priced under the market average so it’s a win – win –win.

basic features

Differentiating Features Include:

  • Mobile Corporate Directory: Team on the Run pushes all of your organization’s contacts to your Smartphone and stores updated contact info – e-mail, phone number, department title, etc. – without mixing with your personal contact list on your phone. Please get rid of the e-mail circulated excel contact sheet – its time…
  • Smartphone/Tablet – Web Browser real-Time Sync: Companies today have all shapes sizes, locations and hours. Not everyone works 9 to 5 in an office building so you should be able to conveniently reach and work with your team wherever you are and wherever they are. Team on the Run works on all Android and iPhone smartphones, iPads and any web browser. If you spend 50% of your time commuting, visiting remote work sites, travelling and it’s easier to chat about projects with your team on your smartphone, all of your exchanges will be synced in real time and waiting for you to pick up on your desktop in your home office as soon as you get home. • Near Field Communications (NFC) Check-in: Available for all Android Smartphones with NFC Readers, this cutting-edge technology is automating the hotel room reassignment process and many other check-in scenarios in the business environment. A dime-sized inexpensive sticker NFC reader placed in hotel rooms, office buildings, remote construction sites with prompt a message to be sent to a team manager with location, date and time stamps when in close proximity to the device. This could mean: I arrived and started my work on time at the construction site or this hotel room is now clean and ready to be re-assigned for example.
  • Geolocation on-demand/Tracking (Available Sept 2015): With extremely powerful and even life-saving use-cases in public and private security and emergency situation management, Team on the Run has a geolocation option that when enabled by the user allows a team leader to locate team members on the map in real time and even list them in order of physical proximity to a specific address in order to deploy police teams, taxis, ambulances, etc. immediately and more efficiently.

Q: Describe 3 scenarios of specific problems companies often face and explain how your product can help them deal with these problems. Point to specific features of your product used in these scenarios.

A: Team on the Run is the all-in-one mobile business communication tool. It has a number of advanced cutting edge features, each with use cases of their own that solve different issues in different industries. On this occasion, in the benefit of brevity, I am forced to narrow down the examples to only 3. Please reach out to my team for more use-cases specific to your industry or to talk about your company in particular by e-mailing us at info@teamontherun.com if what you read sparks some interest – as it should!

1)     Outdated, inefficient manual employee check-in/status update

  • Industries affected: Hotels, Office Buildings and Companies with remote employees (construction, transportation, cleaning/repair services, etc.)
  • Team on the Run Features used to solve the issue: NFC Tag
  • Hotel example: In this day and age you shouldn’t waste resources in manual status updates. With Team on the Run’s NFC technology plus a dime-sized inexpensive sticker NFC reader placed in hotel rooms, maids can swipe their phones on their way out of a room to automatically prompt a message to the hotel central management software changing the status of the room from occupied to vacant at the front desk.

NFC tag banner

2)     HIPAA Laws Restrict the way healthcare professionals can exchange privileged client information.

  • Industries affected: Hospitals, Private MD Practices, Pharmacies, Dentists, etc.
  • Team on the Run Features used to solve the issue: HIPAA Compliancy. Military-grade encryption of all communication through the app. Secure closed-circuit environment, all from your personal smartphone available anytime, on the go or on a web browser.
  • Pharmacy Example: Big pharmacy chains such as Walgreens and CVS sometimes get questions from patients that need to be answered by the pharmacist. If this person is not on site at a particular time, the clerk is not allowed to text, call, or e-mail questions about the patients because of HIPAA regulations. This causes long waits, a decrease in sales for the pharmacy and lawsuits/big fines if unsecure communication occurs. Team on the Run provides a HIPPA-ready solution so that healthcare professionals can reach each other instantly, securely and in compliance with the law by call, instant message with file exchange option and even virtual walkie-talkie. All of this available via smartphone app, to take on the go, or via web browser.

  • Industries affected: All industries need to adjust to new working environment, remote working, freelancers, consultants, mobile communications, etc.
  • Team on the Run Features used to solve the issue: Smartphone/Tablet real time sync with web browser; easy-to-use, business-specific, secure communication service.
  • Use-case details: There is a clear shift in the way companies function.
